Team Manager

Location: Chapel Hill, NC (serving surrounding areas)
Season: September – April
Organization: Hydras Ultimate (non-profit, youth ultimate frisbee)

Hydras Ultimate is a parent/guardian-led, board-managed nonprofit that provides team-based Ultimate opportunities for homeschooled students, as well as traditionally schooled students without access to school teams.

We’re looking for a Team Manager to serve as the central coordinator and communicator for our teams.

Role Overview

The Team Manager acts as the primary point of contact between families, coaches, the Hydras Board, and governing organizations including Triangle Ultimate (TU) and USA Ultimate (USAU).

This role ensures smooth operations across registration, communication, coaching coordination, and team logistics.

Key Responsibilities

Registration & Rostering

  • Ensure all players are registered with Hydras, TU, and USAU before the first practice

  • Verify required forms and payments are complete

  • Maintain team rosters in USAU systems

  • Coordinate with the Hydras Board and Treasurer on registration details

  • Provide roster information to TU/USAU as needed

Communication & Coordination

  • Manage the team messaging platform (e.g., Slack)

  • Keep schedules updated for practices, games, and tournaments

  • Send weekly updates (typically Sundays)

  • Communicate tournament logistics and governing body updates

  • Submit scores, stats, and required reporting

  • Notify families of schedule changes, including weather-related cancellations

  • Serve as the primary contact for parent questions

Parent & Board Engagement

  • Attend practices (Tue/Thu, 3:30–5:00 PM) to support families and gather feedback

  • Relay feedback to the Hydras Board

  • Attend monthly board meetings (video calls)

  • Lead a parent information session at the start of the season

  • Organize team chaperones for practices and tournaments

Note: Sensitive issues or incidents should be escalated to the Board per the Conflict Resolution Policy.

Coaching Support

  • Support hiring, onboarding, and coordination of coaches

  • Ensure coaches meet TU/USAU certification requirements

  • Manage coach absences and step in when necessary

  • Help resolve conflicts involving coaches, players, or parents

  • Complete required coach-related documentation

Player Management

  • Assign jersey numbers

  • Support positive team culture and sportsmanship

  • Help resolve conflicts between players, coaches, and families

  • Communicate with prospective players and families

Equipment & Gear

  • Manage team equipment (cones, discs, pinnies, jerseys, etc.)

  • Ensure gear is available for practices and tournaments

  • Coordinate backup support for gear transport when unavailable

Practices, Games & Tournaments

  • Attend practices regularly (Tue/Thu, 3:30–5:00 PM)

  • Observe team dynamics and support a positive environment

  • Coordinate game schedules with participating schools

  • Attend weekend tournaments as needed

Ideal Candidate

We’re looking for someone who:

  • Is enthusiastic about youth sports and Ultimate

  • Has strong organizational and communication skills

  • Is comfortable coordinating across multiple groups

  • Has experience in project, program, or people management

  • Can step in to support coaching when needed

  • Is proactive, reliable, and detail-oriented

  • Time commitment varies throughout the season, with consistent weekly involvement
